This isn't a "photo booth moment." It's a professional portrait studio — professional-grade strobe or LED lighting, a selection of seamless paper backdrops, and a photographer experienced in drawing out relaxed, authentic expressions from people who hate having their picture taken.

We've set up studios in convention center corridors, hotel ballroom alcoves, trade show floors, executive boardrooms, and outdoor tent pavilions. If you have the space, we have the solution.

How much space does the headshot studio need at my conference?

Each studio station requires a minimum of 10 × 12 feet — roughly the footprint of a standard trade show booth. For multi-station setups at larger conferences, we work with your floor plan in advance to find the most efficient placement, whether that's a dedicated studio room, a ballroom alcove, a pre-function corridor, or designated space on the expo floor.


How many attendees can the studio photograph per day?

A single-station studio operating 8 hours can photograph approximately 80–120 attendees. A dual-station setup doubles that to 160–240 per day. For larger conventions, we scale the team and stations to match your throughput goals — just tell us your target number and we'll design the right configuration.


How do attendees receive their images?

Each attendee receives a personal email with a unique download link to their retouched images within 24–48 hours of their session. For larger events, we can also integrate with your event app or deliver images via a QR code scan at the studio. Same-day previews are available for events with social media needs.


Can we brand the headshot studio for our conference or sponsors?

Yes — fully. We offer custom-printed branded backdrops featuring your conference name, logo, or sponsor branding. The attendee download portal, email delivery, and gallery are all co-brandable with your event identity. Some conferences turn the studio into a sponsored activation with a named sponsor, which can offset the cost significantly.


Do you handle scheduling, or does our team manage it?

We handle it. Depending on your package, we provide an online pre-scheduling portal that attendees can access before the event, a walk-up QR code sign-up system, or integration with your existing event app. Our on-site studio coordinator manages the queue and flow so your events team can focus on running the conference.


What's the difference between conference headshots and a photo booth?

Night and day. A photo booth is automated with fixed settings and no photographer. Our conference headshot studio is a fully staffed professional portrait session — proper studio lighting, a working photographer who directs posing and expression, professional post-production editing, and commercial-quality results that attendees can use for LinkedIn, press bios, and company websites.


How far in advance should we book the studio for a large national conference?

For major national conferences with 1,000+ attendees, we recommend booking 4–6 months in advance, particularly for peak convention season (spring and fall). Smaller conference studios can often be booked 6–8 weeks out. If your event is sooner, reach out anyway — we'll do our best to accommodate.


Do you travel for out-of-state conferences?

Yes — travel is a regular part of this practice. We bring the complete studio in professional road cases and have worked at convention centers and hotels across the country. Travel costs are quoted transparently as part of your proposal and are often bundled into larger convention packages at no additional markup.
